AI automation services

Free your people for their best work. Automate the rest.

Every business has work that quietly drains payroll: re-entering orders in two systems, routing purchase approvals through inboxes, assembling the weekly report by hand. NBIT maps where the hours actually go, automates the repeat work with Power Automate and AI agents inside the systems you already own, and manages those automations like the rest of your IT, so they keep running long after go-live.

What we do

AI automation, defined.

AI automation

AI automation combines workflow tools with AI that can read, classify, and decide, so multi-step business tasks complete with little human handling. Routine cases run on their own; exceptions go to a person with the context already gathered.

Workflow automation

Workflow automation connects your apps so an event in one system starts actions in others: a form is submitted, a record is created, an approval is routed, and the right people are notified. Many valuable automations need no AI at all.

Business process automation

Business process automation (BPA) streamlines an end-to-end process, such as order-to-invoice, quoting, or employee onboarding, rather than a single task. It starts by mapping how work really moves, not how the org chart says it does.

Power Automate

Power Automate is Microsoft's automation platform, included with many Microsoft 365 business licenses. It connects Outlook, Teams, SharePoint, Excel, and hundreds of business applications, which makes it the natural starting point for most Microsoft 365 organizations.

AI agents

An AI agent takes a goal, uses approved tools and data, and completes steps on its own within guardrails you set, such as triaging a shared mailbox, drafting replies, or updating records. Well-governed agents log what they do and escalate what they shouldn't decide.

Intelligent document processing

Intelligent document processing uses AI to read invoices, purchase orders, packing slips, and certificates of analysis, then turns them into structured data your systems can use, without anyone retyping it.

The problem

Manual work is a tax nobody budgeted for.

Automation projects rarely fail because the tools are weak. They fail because nobody mapped the process first, nobody owns the automation after launch, or it was built on one employee's personal account and breaks the day they leave.

Skilled people doing data entry

Your best coordinators, buyers, and accountants spend hours a week moving information between systems. That time is paid for at full rate and adds nothing a customer would notice.

Shadow automations nobody owns

Flows and connectors built on personal accounts work until someone changes a password or leaves the company. Then they fail silently, and nobody knows which process just stopped.

Systems that don't talk to each other

ERP, CRM, accounting, email, and spreadsheets each hold part of the picture. When people are the integration layer, errors and delays are built into every handoff.

Automation without guardrails

An AI agent with broad access and no logging is a security risk, not a productivity tool. Automation has to follow the same identity, permission, and data rules as the rest of your environment.

How we engage

From time sink to running automation.

We start where the hours are, prove the return on one workflow, then scale. Investment is scoped after discovery, so you only fund automations with a clear payback.

  1. Discovery call

    60 minutes, no cost

We learn how your business runs, which systems you depend on, and where your team says the time goes. No slides, just questions about your real workflows.

You leave with: A short list of the processes most likely to deliver a fast, measurable return.

  2. Process mapping

    Workshop with your team

We map the top candidate processes step by step with the people who do the work, measure the hours involved, and identify what can be automated, what needs AI, and what should stay human.

You leave with: A prioritized automation roadmap with estimated hours saved for each workflow.

  3. Build and pilot

    One workflow, measured

We build the highest-value automation on accounts and licenses your business controls, test it against real cases, and run it alongside the manual process until it proves itself.

You leave with: A working automation with a before-and-after time comparison.

  4. Rollout and adoption

    Training and documentation

We roll the automation out to every user it touches, train them on the new process, and document how it works, who owns it, and what happens when it hits an exception.

You leave with: Documented, owned automations your team actually uses.

  5. Managed automation

    Ongoing, monthly

We monitor your automations, fix failures when systems or vendors change, review usage, and bring you the next best candidates every quarter, as part of a managed service.

You leave with: Automations that keep running, and a pipeline of new ones.

In practice

Where automation pays off first.

Common starting points across the businesses we support. Each runs inside your Microsoft 365 tenant or line-of-business systems, with access controls and logging in place.

Invoices and orders entered automatically

Accounts payable and order entry

AI reads incoming invoices and purchase orders from email, extracts the data, matches it to vendors and POs, and stages it in your accounting or ERP system for approval.

  • Capture invoices and POs straight from a shared mailbox
  • Extract vendor, amounts, line items, and due dates
  • Match against purchase orders and flag mismatches
  • Route exceptions to a person instead of everything

Who it's for: Finance and order entry teams retyping documents every day.

Approvals that route themselves

Purchasing, time off, and capital requests

Requests start in a simple form, route to the right approver based on amount, department, or location, and post the decision back to the systems that need it.

  • Approval rules based on amount, department, or site
  • Approve from Teams or Outlook in one click
  • Automatic reminders and escalation when requests stall
  • A complete audit trail for every decision

Who it's for: Any business where approvals live in someone's inbox.

Reports that build themselves

Operations and management reporting

Data from your ERP, CRM, and spreadsheets is pulled, combined, and summarized on a schedule, with an AI-written summary of what changed and what needs attention.

  • Scheduled pulls from the systems you already use
  • One consistent report instead of five spreadsheets
  • AI summaries that highlight exceptions and trends
  • Delivered to Teams or email before the meeting starts

Who it's for: Managers who spend Monday mornings assembling the numbers.

New hires ready on day one

Employee onboarding and offboarding

A single HR form triggers account creation, licensing, group membership, equipment requests, and training assignments, and offboarding reverses it completely and on time.

  • Accounts and access created from one request
  • Role-based permissions applied automatically
  • Equipment and training tasks assigned to the right people
  • Same-day access removal when someone leaves

Who it's for: Growing businesses where onboarding depends on someone remembering every step.

Inbox triage with AI

Shared mailboxes and customer requests

AI reads incoming requests in shared mailboxes, classifies them, pulls the relevant customer or order details, drafts a response, and routes anything unusual to a person.

  • Classify requests by type and urgency
  • Look up order, account, or ticket details automatically
  • Draft replies for a person to review and send
  • Track response times without manual logging

Who it's for: Customer service, sales support, and accounts receivable teams.

Quality and compliance records captured at the source

Manufacturing and food production

Checklists, inspections, and lot records are captured on a tablet or phone and stored as structured, searchable data, ready for an audit instead of filed in binders.

  • Digital sanitation, inspection, and maintenance checklists
  • Lot and traceability records linked to production runs
  • Automatic alerts when a check fails or is missed
  • Audit-ready records in minutes, not days

Who it's for: Plants preparing for customer audits, FSMA requirements, or SQF certification.

Why NBIT

We manage automation like we manage your IT.

Anyone can build a flow. Keeping it secure, documented, and running when a password changes or a vendor updates an API is the hard part. That is exactly what a managed service provider is built for.

  • Built on accounts you control Every automation runs on service accounts and licenses owned by your business, not an employee's personal login, and is documented so it survives staff changes.
  • Security reviewed before it runs Our CISSP-led security team reviews each automation for least-privilege access, data handling, and logging, so automation never becomes your weakest link.
  • Monitored and maintained Failed runs alert our team, not your staff. When a vendor changes an API or a system is upgraded, we fix the automation as part of your managed service.
  • Process discipline from the plant floor We have supported manufacturers and food producers since 2006. We understand production schedules, ERP dependencies, and quality systems, and we automate around them carefully.

Common questions

AI automation, answered.

What is AI automation?
AI automation uses workflow tools combined with AI to complete multi-step business tasks with little human handling. AI handles the parts that require reading or judgment, such as extracting data from a document or classifying a request, while workflow tools move the information between systems.
How is AI automation different from RPA?
Robotic process automation (RPA) mimics clicks on a screen and breaks when the screen changes. Modern automation connects systems directly through their APIs and uses AI for unstructured inputs like emails and PDFs, which makes it faster to build and far more reliable.
What tools do you use for automation?
Mostly Microsoft Power Automate, Power Apps, and Copilot Studio, plus the native integrations in your ERP, CRM, and accounting systems. We use what you already license wherever possible, so automation does not mean another subscription.
Do we need Microsoft 365 to work with you?
No, but most of our clients have it, and many Microsoft 365 business licenses already include Power Automate for standard connectors. Some integrations require premium licensing, and we identify that during process mapping, before anything is built.
How long does the first automation take?
Once a process is mapped, a single focused workflow is often live within a few weeks. Automations that integrate deeply with an ERP or require custom development take longer, and we give you a realistic timeline before work starts.
How do you measure return on investment?
We measure the hours a process takes before automation and after it, multiply by the loaded cost of the people involved, and compare that to the build and run cost. We review the numbers with you every quarter.
Is our data safe when AI is involved?
Yes. Automations run inside your Microsoft 365 tenant and approved systems, follow your existing permissions, and are logged. Your data is not used to train public AI models.
Do you only automate for manufacturers?
No. Manufacturing and food production are our specialty, but automation pays off in any business with repetitive processes. We serve California's Central Valley from Modesto, Dallas-Fort Worth from Plano, and clients nationwide remotely.
