Your data foundation

Is your important business information organized in a central system, rather than scattered across desktops, email, and random shared drives?
Are you on a modern platform like Microsoft 365 with proper licensing, so AI can be added on a governed foundation instead of bolted on?
Is your data reasonably clean and current, or is it full of duplicates, outdated files, and conflicting versions of the truth?
Is access to files organized by role, or would “everyone can see everything” describe your shared drives?
Is your identity centralized with multi-factor authentication, for example on Microsoft Entra ID, so AI access can be granted and governed per person?

Security and governance

Do you actually know whether your team is already pasting company data into free tools like ChatGPT?
Do you have data-loss-prevention controls that would keep sensitive information from leaking into a public AI model?
Do you know which of your data is sensitive or regulated, and is it labeled or classified so a system could respect that?
Do you know which of the tools you already use have quietly switched on AI features that touch your data?
Is your environment secure enough today that adding AI wouldn't widen an already-open attack surface?
Do you have rules for how long data is kept and when it's deleted, so AI won't resurface information you should have disposed of years ago?

Strategy and compliance

Have you identified the specific, repetitive tasks where AI would save the most time or reduce the most risk?
Have you defined how you'd measure whether an AI rollout actually worked?
Do you have a written acceptable-use policy telling staff what they can and can't do with AI?
If a regulator, auditor, or cyber insurer asked how AI touches your data, could you point to a documented policy?
Have you set aside budget for AI, both the licensing and the work to deploy it properly?

Your people

Is there someone accountable for AI strategy and governance, or is it currently nobody's job?
Does your team get any guidance or training on using AI safely and effectively?
When you roll out new tools, does the team actually adopt them, or do past rollouts tend to stall?
Does your team understand that AI output has to be checked, not trusted blindly?
